Local Printing Service Available for ESW 2025

Thank you for participating in Earth Science Week (ESW) 2025! You have been directed here for information on submitting your item for inclusion in the 2025 Earth Science Week Toolkit, “Energy Resources for Our Future.”

New ESW Printing Service

New to Earth Science Week this year is a service that can help the printing/creating process go smoothly and relatively trouble free for you. AGI can have your ESW Toolkit item printed locally (i.e., in Alexandria, VA) and delivered to the company that packs the Toolkits (which is also in Alexandria, VA). AGI has a relationship with several local printers that can handle most kinds of printing jobs efficiently and professionally. Using this local printing service will save you time and shipping charges.

Eligible Items:

  • Posters
  • Booklets
  • One-page items, such as worksheets or flyers
  • Postcards
  • Bookmarks
  • Pamphlets

If you are planning to create an item not listed here, we may still be able to help you locate a local printer or developer. Please email John Rasanen to check about another type of item not listed, or to inquire more about using our printers.

All Toolkit items must be 8.5" x 11" or smaller. Larger items (e.g., posters) will be folded. Please let us know by May 1, 2025 if you would like to use this printing service.

Step-by-Step Process

  1. Click here to email John Rasanen at AGI to let us know you are interested in using the local printing service. Let us know any of the following information that you may have available:

    • Description of the type of item you are interested in printing, including desired dimensions
    • PDF of the item you are interested in printing
    • If your organization is a 501(c)(3) non-profit, you can provide your tax exempt number
       

  2. You will receive a quote for your job after a few days.

  3. If you wish to proceed, we sill set up your designer with our printer to arrange the transfer of artwork.

  4. The printer will email you a blue line proof. Any changes or adjustments will be made, if necessary, and you will be given another proof for approval.

  5. You will request the number you would like printed. 8,000 for the ESW Toolkits plus the number of any additional copies you might want for yourself or associates. (Many ESW partners print extra copies to distribute at outreach events.)

  6. When the items for the Toolkit are done, 8,000 will be shipped to our fulfillment house (i.e., the company where the toolkits are packed). If you ordered additional items, they will be shipped to the address(es) you provide.

  7. The printer will bill you directly. There are no delivery charges to our fullfillment house. You will pay for any extra shipments. If you provided a 501(c)(3) non-profit tax exempt number, you will not be charged sales tax.

Using Your Own Printer

If you’re unable to use our local printing services, you can send your materials directly to our fulfillment house. Please ensure your items are ready and meet the following requirements:

  • Item Specifications: Ensure all materials, such as folded posters or brochures, do not exceed the dimensions of 8-1/2 x 11 inches.
  • Quantity: Prepare 8,000 copies of your item.
  • Packaging: Choose a sturdy box that fits your items snugly, use bubble wrap or packing paper for cushioning to protect the contents, and ensure the box is securely sealed.
  • Deadline: Ship your items no later than May 1 (preferably earlier).
